Adding Main Information
Go to SALES (Menu) > Sales Return (Side menu)
Blank Sales Return Page with some default values will be displayed in MAIN tab.
Label ending with an asterisk * indicates that the field is mandatory.
Transaction ID (Sales Return ID)
- This is a unique identifier that represents a transaction.
- This is a system generated field when a transaction is initially recorded.
Workflow Type
- DEFAULT is the default value on add mode.
- This is a required field and used to determine the business process of the transaction
whether it requires approval or not.
Customer
- This is a required field. This is initially blank and will be automatically populated once
the
Sales Order is successfully imported.
- The blue hyperlink Customer Name will be displayed which allows users to easily
navigate to the Customer Page if he has access to view customer Information.
Salesperson
- This is a required field. This is initially blank and will be automatically populated once
the Sales Order is successfully imported. User has also an option to select the
Salesperson record.
- Salesperson record must exist in Employee Page prior to creating sales return. The value
will be inherited from the imported Sales Order.
- The user has an option to update the salesperson value. If the user knows already the
Salesperson ID, he can input it on the field and press the “Enter” key. If a blue hyperlink
appears next to the magnifying glass icon, it indicates that the salesperson ID entered is
valid.
- The blue hyperlink next to the magnifying glass is the salesperson name which allows
users to easily navigate to the Employee Page if he has access to view employee
Information.
External Reference No.
- This is an optional field that you set as a reference to the sales order that’s being
returned.
Remarks
- This is an optional field with a maximum length of 1000 characters and is used externally
to convey vital information.
- This field is visible in the printed document.
Notes
- This is an optional field with a maximum length of 1000 characters and is used internally
to convey vital information.
- This field is not visible in the printed document.
Document Date
- This is an optional field which may contain the date when the return takes place.
Return Date
- This is a required field which may contain the date that the product(s) is/are being
returned.
Posting Date
- This is a required field which contains the date when the user posts the transaction.
- This field is not visible in the printed document.
Sales Order
- This is a display only field which displays the Sales Order ID of the imported sales order
transaction. It is also a hyperlink to easily navigate to Sales Order page.
Status
- This is a system generated field based on the selected workflow which indicates the
specific phase / process of the transaction.
Sequence Number
- This is a primary key used to sort the products in ascending order.
- The value is automatically defaulted based on the imported Sales Order. The field is
grayed and non-editable.
Product
- This is a required field. The value is automatically defaulted based on the imported Sales
Order’s product value. The field is initially blank but once the Sales Order is successfully
imported the field will be automatically populated and the value is grayed and non-
- This field is used to identify what specific items / services that the customer purchases
for return.
- The blue hyperlink next to the product code is the concatenated brand name, catalog
number, product description and product code which allows users to easily navigate to
the Product Page if he has access to view product Information.
Sales UOM (Unit of Measurement)
- This is a required field. The value is automatically defaulted based on the imported Sales
Order’s Sales UOM. The field is initially blank but once the Sales Order is successfully
imported the field will be automatically populated and the value is grayed and non-
editable.
- The blue hyperlink next to the UOM value is the sales uom description which allows
users to easily navigate to the Sales UOM Page if he has access to view product
Information.
Fulfilled Quantity
- This is a required field that allows number values. It is used to indicate the number of
products that a customer has purchased that has been fulfilled.
- The value is automatically defaulted based on the imported Sales Order’s fulfilled
quantity value. The field is initially blank but once the Sales Order is successfully
imported the field will be automatically populated and the value is read-only.
Returned Quantity
- This is a required field that is used to determine the total quantities that would be
returned to the customer.
Remarks
- This is an optional field with a maximum length of 1000 characters and is used externally
to convey vital information about the specific item.
- This field is visible in the printed document.
Bin/Warehouse icon
- The Bin/Warehouse icon is located on the left side of the item grid table. On click it will
display the grid table for each product that is for return. On second click it will hide the
same table.
Batch/Serial Number
- This is a required field which defines the number indicating place in a series and used as
a means of identification.
- Serial Number record must exist in the Inventory Adjustment transaction prior creating
sales return.
- This field is used to specify the unique serial number of the products that will be
obtained.
- If the user knows already the Serial Number, he can input it on the field and press the
“Enter” key or click on the magnifying glass icon to search for a record
Warehouse
- This is a required field. This field will be automatically populated once the user has
selected a Serial Number. However, user can use magnifying glass to search for another
warehouse.
- Warehouse record must exist in Warehouse Page prior creating sales order.
- This field is used to specify the location from where the products will be obtained.
- If the user knows already the warehouse code, he can input it on the field and press the
“Enter” key. If a blue hyperlink appears next to the magnifying glass icon, it indicates
that the warehouse code entered is valid.
- The blue hyperlink next to the magnifying glass is the warehouse name which allows
users to easily navigate to the Warehouse Page if he has access to view warehouse
Information.
Bin Location
- This is a required field which defines the smallest addressable unit of space in a
warehouse where your goods are stored.
- This field will be automatically populated once the user has selected a Serial Number.
However, user can use magnifying glass to search for another warehouse.
- Bin Location record must exist in Warehouse page prior creating sales return.
- The blue hyperlink next to the magnifying glass is the bin location description which
allows users to easily navigate to the Warehouse page if he has access to view
warehouse Information.
Quantity
- This is a required field that allows number values. It is used to indicate the number of
products that a customer has purchased that will be returned.
Base UOM
- This is a read-only field and is automatically populated based on the Sales UOM value.
