Creating Purchase Quotation Using Import Function

System allows users to create Purchase Quotation by importing one of the following transactions: Stock Replenishment, Request For Price and Purchase Requisition. Note that the steps when importing a transaction are the same for all. The user must select from one of the three import options.

Go to Purchasing (Menu) > Purchase Quotation (Sidebar Menu) -> Trade (Sub Menu)

To create Purchase Quotation using import function (e.g. Stock Replenishment):

  1. Search for a supplier by clicking the magnifying glass next to Supplier input field. You may enter any value to filter the search or just leave it blank to search all. Then click the search button on the right side. This action will prompt the system to initiate the search process.

  2. After clicking the search button, all results are displayed below the Supplier ID search criteria.

  3. Select from search results. The supplier search page will be automatically closed and notice that some information (e.g. Contact Person 1, Currency and Exchange Rate) from the supplier will be inherited into the purchase quotation.

  4. Click Import link located at the upper right corner and select a value (e.g. Stock Replenishment) from Import From dropdown.

  5. Click on the magnifying glass icon next to ID input text box. The corresponding Search Page (e.g. Request For Stock Replenishment) will be displayed. Import From is defaulted to the selected value.

  6. User must enter the desired date range in the "Created From" and "To" fields and then click the search button on the right side. This action will prompt the system to initiate the search process. After clicking the search button, all results are displayed below the Stock Replenishment ID search criteria.

  7. After selecting the record from search results the search page will be automatically closed, and the ID value is defaulted to the import dialogue.

  8. User can choose to either proceed with or cancel the importation into the purchase quotation. If the user wants to cancel the importation, he can click the CANCEL button located in the lower right corner.

  9. If the user wishes to proceed, he can click the OK button located in the lower right corner.

  10. After clicking the OK button, the import window will close and the item information (Product, Quantity and Purchase UOM) from the imported transaction will be inherited into the purchase quotation.

  11. 11. User may provide optional field values and then click on Save to create new transaction in Draft status. Notice also that the Reference ID is populated with the imported transaction ID (e.g. Stock Replenishment ID).
