Creating Customer Refund Using Customer Deposit Payment

System allows users to create Customer Refund using a Customer Deposit Payment. User may search for an existing customer deposit payment transaction in deposited status.

Go to FINANCE (Menu) > Customer Refund (Sub-menu)

Blank Customer Refund page with some default values will be displayed in MAIN tab.

To create new Customer Refund using Customer Deposit Payment:

  1. On Customer Refund page, search for a customer deposit payment by clicking the magnifying glass next to Customer Deposit Payment input field and search by Customer, Currency and Created From-To. Then click the search button on the right side. This action will prompt the system to initiate the search process.

  2. After clicking the search button, all results are displayed below the Customer Deposit Payment search criteria. User must select from the search results.

  3. The customer deposit payment search page will be automatically closed, and the selected Customer Deposit Payment is loaded in the Customer Refund page. Also notice that the Customer Credit Memo field is grayed and non-editable and some information (e.g. Customer, Contact Person, Currency, Exchange Rate and Unapplied Amount) will be inherited from the customer deposit payment into the customer refund.

  4. Click on the magnifying glass next to Credit Account input field and provide a description or leave blank to search all. Then click the search button on the right side. This action will prompt the system to initiate the search process.

  5. After clicking the search button, all results are displayed below. User must select from the search results.

  6. The Credit Account search page will be automatically closed, and the selected credit account is loaded in the Customer Refund page.

  7. Scroll down to item table and enter a Refund Amount value. Note that Refund Amount cannot be greater than Unapplied Amount value.

  8. User must select a Refund Date.

  9. Select for a payment mode by clicking the Payment Mode dropdown. User should only select from the available list.

    1. If the payment mode is cash, the Account Number and other fields to the right are disabled.

    2. If Payment Mode is Bank-To-Bank or Letter Of Credit, user may select an account number by clicking the Account Number dropdown. User should only select from the available list.

      • After selecting the Account Number, the Bank Details is auto populated (if available).

    3. If Payment Mode is Check, user may select an account number by clicking the Account Number dropdown. User should only select from the available list.

      • It is also advisable to populate the Check No. details.

    4. If Payment Mode is Credit Card, user may select an account number by clicking the Account Number dropdown. User should only select from the available list.

      • After selecting the Account Number, the Credit Card details is auto populated (if available).

  10. User may populate other optional field and then click on Save to create new transaction in draft status.
